Orders are created in the system just as a customer completes the checkout process. When a shop starts taking orders, the orders management page begins to fill up.
1. Orders
The Orders module reflects the earnings for admin in respect of every order made on the platform. The following self explanatory list is displayed in tabular format:
- Sr.No: Display the hierarchy of orders that exists in the system.
- Order ID: Display a unique order ID generated by the system when order has been placed.
- Customer Name: The details including name, registered email address along with the contact details can be fetched from here.
- Order Date: Date and time of order date can be viewed from here.
- Total: Displays the total amount of the order.
- Order Status: The current status of order can be viewed from here. Pending, Paid and Canceled are the various order status types.
There are some provisions available to manage the customer orders list:
I) Action Button:
Click on the three horizontal dots icon at the end of the list below the Action header. The following options are available:

View Order Detail: Just as the name specifies, here find complete details of customer’s order details. On click of View Order Detail, the following information can be glanced:

Customer Order Detail: Here, a snapshot of the order details can be captured in a table with the following self explanatory details:
- Order/Invoice ID: View unique order or invoice ID details.
- Order Date: Detail about the time, date of order being placed .
- Payment Status: The current status of the order can be seen.
- Customer: The name of the customer is displayed.
- Payment Method: Display the payment method used by the buyer.
- Site Commission: Display commission details incurred from the website.
- Canceled Item(s) Commission: The amount of admin’s commission lost due to item cancellations.
- Canceled Amount: Shows the amount canceled from order total in lieu of order adjustments.
- Order Amount: Shows the order’s total value.
- Amount Paid: Shows the amount paid by the buyer out of the order amount.
- Amount To Be Paid: Shows the amount yet to be paid by the buyer.
- Credited To Wallet: Shows the amount credited to buyer wallet in lieu of item(s) cancellation or order adjustments.
- Discount: Shows total discount amount calculated on the order.
- Reward Point Discount: Shows redeemed reward points at the time of order placement.
- Volume/Loyalty Discount: The volume discount received upon order is displayed.
- Total Delivery Charges: The total delivery charges amount paid by the buyer.
- Delivery Charges Discount: View the total delivery discount on the order placed.
- Delivery Charges: Total delivery charges applied to order is displayed.

Order Details: This segment has following order details information:
- Child Order Invoice ID: Display the unique ID assigned to the seller order.
- Product/Shop/Seller Details: Details about the product, shop and seller details can be traced from here.
- Unit Price: The price of per unit is displayed.
- Qty: Quantity of order is displayed.
- Tax: Tax charged on a particular ordered item is shown.
- Volume/Loyalty Discount: The amount of volume discount applied on order is shown.

Total: Displays the total amount of the order including cart total, delivery,delivery discount, tax.
This section also reflects the adjustments made to an order through the following color highlights. - Green: Newly added items.
- Yellow: Replaced or quantity adjusted.
- Red: Canceled items.

Customer Details: This section displays brief details of customers including name, registered email address and phone number.

Billing/Shipping Details: The billing and shipping address details of the buyer are displayed.

Order Payment History: A brief history of order payment is shown where the information is contained in the following fields:
- Date Added: Date when the payment has been made.
- Transaction ID: Unique transaction ID generated after completion of payment.
- Payment Method: Detail about the system's integrated payment method.
- Amount: Total amount of payment is displayed.
- Comments: Messages or comments received by the user are shown.
- Gateway Response: Defines a gateway response of a given response type.

Order Payments: You have a provision to manually add payment related details in case of pending payment or when deductions have been made from the customer's account but the system fails to recognize the same. Thefollowing information can be added:
- Comments*: Add comments in relation to order.
- Shop*: Select the shop which the payment is related to.
- Payment Method*: Enter method of payment opted.
- Transaction ID*: Manually add transaction ID .

Amount*: Enter total amount of order received. Once information has been added, click on Save Changes and the same information can be retrieved from the Order Payment History section.
To move back to the orders page, click on the three horizontal dots icon buttonprovided at the upper right corner and select Back To Orders.

Customer Order Detail: Here, a snapshot of the order details can be captured in a table with the following self explanatory details:

View Seller Order: In this section, seller-wise child order details can be viewed. On click of View Seller Order option, you are redirected to the Manage Seller Orders page where the following information can be obtained from thelisting:
- Order ID: Display the unique order ID generated by the system.
- Seller: Shop name, seller name, user name, registered email address along with the phone number related details are captured from here.
- Customer: Basic details of buyer’s such as name, username, email and phone are displayed.
- Date: Date and time of order when the order request is made is displayed.
- Amount: Total amount of order payment is displayed.
- Status: Displays the current status of order.

Action: On click of three horizontal dots
, there is an option to View Order Detail. In the next segment of documentation, detailed information about this option can be found.
II) Search
:
On the top of the listing, there is an option to search for records of a list. To sort a list, the following filtering options are available:
- Keyword: Search by order ID, customer name, username and registered email ID.
- Buyer: Click inside the empty field, select an individual buyer to view the results.
- Payment Status: Sort listings by payment statuses, select the required one from the drop down list.
- Date From: Specify a date range for retrieving orders that were created during this time period.
- Date To: Specify a date range for retrieving orders that were created during this time period.
- Order From: Filter listings as per the value entered.
- Order To: Filter listings as per the value entered. Click on Search to generate the results. Once search results have been obtained, click on Clear Search to view the compiled list again.
2. Seller Orders
This page details orders and child orders of sellers associated with the system.
The following self explanatory list displays the following information:
- Order ID: This is the unique ID of child order of a seller. Child orders addressed here are created from a parent customer order and define separate order ids for each product within that order. This helps in distinguishing orders received for different sellers.
- Seller: Displays basic seller’s details including shop, seller name, email, phone.
- Customer: Know the customer’s basic details such as name, username, email, phone.
- Date: Date along with time of order can be viewed.
- Amount: Displays the amount of individual orders.
- Status: Detail about current status of order.
I) Action Button:
Click on the three horizontal dots icon at the end of the list below the Action header. This will display the following options:

View Order Detail: On click of View Order Detailoption, following seller related information are available at a glance under separate headers:

Seller Order Details: This section provides a basic details by listing the following seller order details:
- Order ID: Display unique seller’s ID.
- Order Date: Date along with time of order can be viewed.
- Status: Display the current status of order.
- Customer/Guest: The name and username details of the customer who placed the order.
- Payment Method: Integrated system’s method of payment is displayed.
- Commission Charged: Total commission charged amount can be viewed.
- Canceled Item(s) Commission: The amount of admin’s commission lost due to item cancellations.
- Cart Total: Show total value of cart.
- Total Delivery Charges: Detail about the applicable shipping charges on order.
- Delivery Charges Discount: Showcase discount applied on order shipping.
- Delivery Charges: Display the total charges paid after discount.
- Tax: Display tax applied on a selected order.
- Reward Point Discount: Display discount applied through reward points.
- Volume Discount: Show order total based on the quantity of that product.
- Admin Delivery Revenue: Display the admin’s revenue on an admin managed order delivery.
- Canceled Amount: Display the canceled amount deducted from order total.
- Order Total: Display the total amount of order.
- AmountPaid: Display the amount paid out of the order total.
- Amount To Be Paid: Display the amount yet to be paid out of the total order amount.
- Self Pickup: Displays if the buyer had opted for self pickup of order.
- Pickup Date: Know the pickup date selected by the buyer on the order checkout page.
- Pickup Slot: Know the pickup slot selected by the buyer or order checkout page.
- Delivery By: Name of the assigned delivery official.
- Delivery Date: Know when the product has been delivered.
- Delivery Slot: Know the delivery slot for the order.

Delivery Fee: Show the amount of fee paid to the delivery staff.
On the upper right corner of the section, click on the three horizontal dotsand the following options are displayed:
- Back To Orders: On click, you will be taken back to the Seller Orders List page.
- Delivery Staff Assignment: On click, you will be redirected to the Delivery Staff Assignment section.
- Print: Select this option in case you require a copy of an order for your own records, or to include in the box when you ship to a customer.
- Cancel Order: On click, you will be redirected to the Reason for Cancellation section on the updated order details page. Enter the reason or comments in the Comments field and click on Save Changes to cancel the order.

Seller/Customer Details: This section provides a basic seller/customer details such as:
- Shop name/Customer Name
- Name/Username
- Registered email IDs
- Phone details.
- Billing/Delivery Details: This section provides address details given for billing/delivery. Only the billing address will be displayed here for orders meant for buyer self pickup.

Order Details: This section displays details related to ordered products like its name, quantity, unit price, volume discount, tax applied, reward point discount redeemed, total amount paid and so forth.
Any order adjustments made by the seller are also reflected in this section and highlighted in different colors-
- Yellow: Item quantity adjustments and replacements.
- Red: Item cancellations.

Green: New item additions.
A Cancel Producticon button is provided at the right of each item clicking on which will display a Cancel Seller Product window form. Enter the product cancellation reason or comments in the Comments field and click on Proceed to Cancel to cancel an item.
Help Notes:
- Only one item can be canceled at a time.
- An item can be canceled only till the order is updated as Packed.

Comments On Order: The following comments related information are managed:
- Your Comments: Share product related comments.
-
Status: After the seller has saved all the order adjustments at their end, change the status by making a selection from the dropdown list as:
- In Process: Once an order is updated as In Process, no more order adjustments can be made.
- Packed: The status updation rights transfer to the delivery staff from the seller once updated as Packed.
- Shipped/Picked: Only admin or assigned delivery user can update an order as Shipped or Picked.
- Delivered: Once updated as Delivered, the admin or seller can no longer cancel an order.
- Completed: An order updated as Complete can no longer be returned by the buyer.
- Notify Customer: Enabling the option Yes will send alerts to customers. When no alert has to be sent, select option No.

Order Comments: A brief synopsis of comments that has been added into the system so far can be traced from this section:
- Date: Display when the comment has been added.
- Customer Notified: Display whether a customer has been notified or not.
- Status: Status that has been allocated is displayed.
- Comments: Know what comments have been posted.

Delivery Staff Assignment: This section is displayed for the admin managed delivery orders. The orders are broadcasted to active admin delivery staff by default for a definite time duration and kilometer radius range. However, if the broadcast times out or if the admin prefers, they can also manually assign staff through this section displaying the list of delivery officials and certain functionalities:
- Name Or Email: Enter the name or email address of the delivery official to be searched for delivery assignment.
- Radius in Km: Enter the radius range within which delivery staff is to be searched. Click on Search to generate results. Click on Clear to display the complete list again once the search is complete.
- Action Button: Clicking on the three dots icon will display the Assign Order option. Select this to assign an order to a delivery official.

Seller Order Details: This section provides a basic details by listing the following seller order details:

Cancel Order: For orders whose payment is confirmed but aren’t yet shipped, this option is also displayed. On click, you will be redirected to the Reason for Cancellation section on the updated Order Details page. Enter the reason or comments in the Comments field and click on Save Changes to cancel the order.
II) Search
:
On the top of the listing, there is an option to scan, find, and limit records of a list. To sort a list, the following filtering options are available:
- Keyword: Filter list by invoice no, customer name, username, email ID, product name, shop name, brand name, seller name, seller username and seller email ID.
- Buyer: Click inside the empty box, select an individual buyer to view the results.
- Seller Shop: Search by shop name, seller name, seller username and seller email ID, seller phone.
- Adjustment Status: Search by current order adjustment status.
- Order Status: Sort listings by statues, select the required one from the list.
- Delivery Status: Search for orders whose delivery was not accepted by the intended delivery staff. By default, Does Not Matter is selected which means this filter is not applied to the search results.
- Date From: Specify a date range for retrieving orders that were created during this time period.
- Date To: Specify a date range for retrieving orders that were created duringthis time period.
- Order From: Filter listings as per the value entered.
- Order To: Filter listings as per the value entered. Click on Search to display the filtered list. Once the search is complete, click on Clear Search to view the compiled list again.
3. Subscription Orders
Whenever a seller purchases a subscription, all the information about orders becomes visible in this section. The current list of subscription displays the following information in a tabular format:
- Sr.No: Hierarchy of total subscription order received so far.
- Order ID: Display unique subscription ID generated in a system upon order processing.
- Customer Name: Display name of the customer along with registered emailaddress.
- Order Date: Display date and time of order received.
- Total: Display total amount charged for a subscription.
- Payment Status: The current status of payment is displayed.
I) Action Button:
Click on the three horizontal dots icon at the end of the list below Action and select View Order Detail to view subscription order detail page along with area manageable:

View Order Detail: On click of View Order Detailoption, following information located under separate heards can be viewed, managed:

Subscription Order Details: This section provides basic order details. Here, information can be viewed only, no additions or edits can be made:
- Order/Invoice ID: Display unique order/invoice ID.
- Payment Status: Current status of order is displayed.
- Customer: Display username of customer.
- Payment Method: Display payment method integrated with the system.
- Order Date: Date along time details are displayed.
- Order Amount: Total amount of order is displayed.
- Discount: Discount applied during the ordering process is displayed.

Order Details: This section provides details about the subscription purchased. Here, information can be viewed only, no additions or edits can be made:
- Sr.No: Display the hierarchy of purchase details.
- Child Order Invoice ID: Display unique child order invoice ID created in the system.
- Status: Current status of subscription order can be viewed.
- Subscription Details: Detail about the subscription plan offered.
- Subscription Validation: Explain the validity of plan received.
- Unit Price: Total price quoted.
- Cart Total: Display total cart value.
- Order Total: View total amount of order charged.

Customer Details: This section provides basic customer details. Here, information can be viewed only, no additions or edits can be made:
- Name: Name of customer is displayed.
- Email: Display customer’s registered email id.
- Phone Number: Display contact details.

Order Payment History: This section provides order payment history details.
Note: An admin has a provision to manually add payment related details in case of pending payment or when deductions have been made from the customer's account but the system fails to recognize the same. The following information can be added:- Comments*: Add comments in relation to order.
- Payment Method*: Enter method of payment opted.

- Order To [Default Currency]: Filter listings as per the value entered. Click on Search to generate the results. Once the search is complete, click on Clear Search to view the whole list again.
4. Withdrawal Requests
This page details all the withdrawal requests received from system users.
Users can withdraw their balance by requesting the site administrator. A user gets the requested amount if the site administrator approves the withdrawal request and vice versa. Upon receiving the request, the following details of users can be obtained at a glance:
- ID: Display unique user ID generated by system upon initiating withdrawal requests.
- User Details: Display details of user such as name, username, email id, phone number, user type related details.
- Balance: View balance amount available in their wallets.

Amount: View amount user initiated to withdraw.
Note: The admin can set the minimal and maximal withdrawal amount limits for the users from Withdrawal Request under General Settings. -
Withdrawal Mode: Know the mode of transaction used by admin to transfer the amount requested.
Note: The mode of withdrawal is opted by the user by sharing the details of preferred payment mode. - Account Details: Display account details shared by users.
- Date: Know when withdrawal requests have been initiated.
- Status: View current status of request received.
I) Action Button:
Click on the three horizontal dots icon at the end of the list below Action. The following options are available:

Approve: On click of Approve, a popup window displays the message Do You Really Want To Approve The Request, on click of Yes, status of withdrawal request is marked as Approved. Alongside this, alerts are sent to both admin and users.
- Admin: Whatsapp, sms notifications and emails notification on configured email id and number.
- App Users: Receive alerts via push notifications on their registered numbers.
- Web Users: Receive alert via email notifications on registered email address
- Decline: On click of Decline option, a popup window displays the message Do You Really Want To Decline The Request, on click of Yes, the status of Withdrawal Request is marked as Declined.
II) Search
:
On the top of the listing, there is an option to scan, find, and limit records of a list using a search box.
- Keyword: Search by entering username, keyword.
- From (Default Currency): Sort list from specified amount entered.
- To (Default Currency): Sort list upto specified amount entered.

Status: Sort by statues:
- Withdrawal Request Pending
- Withdrawal Request Approved
- Withdrawal Request Declined
- Date From: Specify a date range for retrieving requests that were created during this time period.
- Date To: Specify a date range for retrieving requests that were created during this time period.

User Type: Filter listings by defining user type from the list provided:
- Buyer
- Seller
- Advertiser
- Affiliate
- Delivery Staff. Click on Search to generate the search results. Once search is complete, click on Clear Search to view the compiled list again.
5. Order Cancellation Requests
Admin can search, view, manage cancellation requests, for both single item and complete order cancelation, initiated by customers. The following details can be viewed from cancellation requests list:
- Buyer Details: View buyers’ name, username, registered email.
- Seller Details: View sellers’ name, username, registered email.
- Request Details: View details related to order ID, status, reason and comments entered.
- Amount: Know the total amount of the order upon which request has been initiated.
- Date: Know the date, time when the request has been initiated.
- Amount Refunded: View by amount refunded status for the request.
- Status: Current status of request is displayed.
I) Action Button:
The last column of the list displays the three horizontal dots action button displaying the following options:

View: Click on View to display the Cancellation Details window similar to the one shown below:

Edit: On click of Edit option, following Update Status Setupform is shown where statuses can be managed. A dropdown list displays the following status:

Pending: This indicates the order cancellation request is still under review.
-
Approved: This indicates that the cancellation request has been approved by the admin.
Note: Requests once approved cannot be changed. Upon approval, you have following options to process refunds to users:-
Transfer Refund To Wallet
: Enabling checkbox will transfer the refund directly into the wallet.
- Comment*: Type in comments summarizing processing of transfer amount or so.

Declined: This clearly states that request has been denied by admin. Enter the reasons for declining the request in the Comment* field and click on Save Changes to update the request.
Note: Requests once denied cannot be changed later

Pending: This indicates the order cancellation request is still under review.

- Keyword: Search by entering order/invoice, request comment.

Request Status:Sort listings by statues, select the required from the list:
- Pending
- Approved
- Declined
- Order Payment Status: Sort as per the payment status. Select from the dropdown list.
- Cancel Reason: Sort list by selecting cancellation reason.
- Buyer Details: Filter listings by entering buyer’s details such as name, email, username.
- Seller Details: Filter listings by entering seller’s details such as name, email, username.
- Date From: Specify date range for retrieving requests that were created during this time period.
- Date To: Specify a date range for retrieving requests that were created during this time period. Click on Search to display the filtered list. Once search is complete, click on Clear Search to view the compiled list again.
6. Order Return/Refund Requests
This module is dedicated to manage buyers return/refund related requests.
View following information from the requests list:
- ID: View unique system generated return request IDs.
- Buyer Details: View buyers’ name, username, registered email, phone details.
- Seller Details: View seller name, username, registered email, phone details.
- Product: View details about the product, shop name upon which request has been raised.
- Qty: Display quantity of product submitted for return.
- Date: Know the date, time when the request has been initiated.
- Status: Current status of request is displayed.
I) Action Button:
Click on the three horizontal dots icon at the end of the list below Action to view information categorized under following headers.

View Return Order Request: This section provides basic details about the order request. Here, information can be viewed only, no additions or edits can be made:
- ID: Display unique system generated refund/return request ID.
- Product: View product name along with brand and shop details.
- Quantity: VIew quantity of product raised for return.
- Reason: View reason stated by buyer.
- Date: Date along time details are displayed.
- Status: The current status of request can be viewed.
- Amount: View the return/refund request amount.

Seller/Customer Details: This section provides basic details of both seller and customer. Here, information can be viewed only, no additions or edits can be made:

Seller/customer Details:Display following details:
- Shop/customer Name
- Name/username
- Email ID
- Phone

Seller/customer Details:Display following details:
- Message Communication: This section shows message conversation threads among admin and customer. Admin can respond to queries asked by customers and the responses are recorded into this area.

Comment: This section enables you to add Comment for the internal team. Buyers' queries are also answered from here. Don’t forget to click on Submit to save comments added.

Update Status: This section enables you to update the status of the return/refund request through the following option:

Status: From the dropdown list, select the status of the request as:
- Pending
- Refunded

Withdraw
Click on Update to save the request status. Once updated, the status can not bechanged further.

Back to Order Return Request button
: On top of the listing, there are three horizontal dots located that function the same as Back. Click on the option appearing Back to Order Return Request and you will be redirected to the previously shown Order Return Requests list.

- Buyer Details: Search by name, username,email, phone number of buyer.
- Reference No: Sort listings by id/reference number
- Vendor Details: Search by vendor’s name, username,email, phone number.

- Request Status: Filter listings by request statues.
- Date From: Specify date range for retrieving requests that were created during this time period.

Once the search is complete, click on Clear Search to view the compiled list again.
